The Only Way New Processes Will Work In a Business
Summary
- Processes must bring net benefits to the organization for them to be sustainable.
- There's a local cost when asking the sales team to take extra actions, such as writing notes in the CRM.
- These additional tasks should lead to a global benefit, like improving customer support, onboarding, product, and delivery experiences.
- If the work done by one team positively impacts multiple other areas, the organization as a whole benefits, which justifies the initial cost.
- Not every detail needs a system; avoid creating unnecessary tasks that don't add clear value.
- Before asking the team to perform new tasks, I always consider if the output will be utilized meaningfully. If not, it's better not to burden the team without a purpose.

How To Take Action
I would suggest starting with the tasks that have clear benefits for lots of parts of your business. For example, if you have salespeople, ask them to write notes in your CRM system. But only if other teams like customer support, onboarding, product, and delivery can use these notes to make customers happier. This small task with a little extra time can make everything better for everyone.
Next, think about if a task is really needed. Don't make your team do stuff that doesn't help anyone. Before you add a new task, ask yourself "Will this make a big difference?" If the answer is no, then it's probably not worth it. It's like if you were carrying a heavy backpack, and someone tried to put more stuff in it that you didn't need. You'd say no, right?
Here’s how you can do it:
- Look at what your team is doing that takes extra time.
- Ask, "Does this help more than just this team?"
- If yes, keep it. Make sure everyone knows how it helps them.
- If no, stop it. It's like cutting extra weight, so your team can move faster.
- Repeat this for every new task you think about giving your team.
Remember, the goal is to do more of what helps everybody and less of what doesn't. This way, you're getting more from the work without wasting time or effort. It's like finding the best shortcuts. Keep it simple and focus on what brings the most good stuff for everyone.
